Embracing AI Content Tools For Event Planning and Marketing

Following a rapid shift to virtual events during the pandemic and a refocusing on in-person meetings in the past, event professionals today are doing more with less. Fortunately, we live in an age of abundance of technological solutions that allow you to do this. In this article, we will look at ChatGPT for event organizers.

Now we'll show you how event management teams can use ChatGPT to improve their event strategy and audience engagement for better business results.

What is ChatGPT?

ChatGPT is an AI chatbot developed by OpenAI that allows users to have AI text conversations.

After its release in November 2022, ChatGPT became an instant hit as people across industries started asking the model to do all sorts of things, like debugging code, writing recipes in foreign languages, and explaining HTML like the reader is a dog.

Tidio, the all-in-one customer service platform, surveyed nearly 1,000 people to see how people feel about ChatGPT. Here are some of the results:

We use a similar AI for the OnlineExpo platform's automated translations. While ChatGPT is probably the most popular tool of its kind on the market today, it's not the only one. There are alternatives to ChatGPT, including Chatsonic, GPT-3 Playground, and YouChat - all of which, however, are powered by OpenAI models. It is worth exploring all of them to understand which one you like best.

How to use ChatGPT for event marketing content

With the versatility of ChatGPT, event marketers have no shortage of ways to use this tool to be more productive. If you have a content-related challenge to solve, submit it to ChatGPT and see what happens.

1. Event planning and marketing

When you sit down at the table and start thinking about your next event, turn to ChatGPT for help with event planning and marketing. At the very least, it will increase the likelihood that all your plans will be fulfilled - perhaps by reminding you of something that you have overlooked.

For an example, we asked ChatGPT:

How can you help me plan and market an event that brings together ice cream makers to discuss the latest industry trends and the latest flavor innovations?

ChatGPT has provided a pretty exhaustive answer:

  •     Define the purpose and objectives of the event: Clearly define the purpose and objectives of the event, such as discussing the latest industry trends, showcasing new flavor innovations, and providing networking opportunities for ice cream producers.
  •     Define your target audience: Define your event's target audience, such as small ice cream producers, large ice cream producers, or industry professionals. This will help you tailor the event to their specific needs and interests.
  •     Choose a suitable location and date: Choose a location that is easily accessible and can accommodate the expected number of participants. Choose a date that is convenient for the majority of the target audience and does not overlap with other industry events.
  •     Invite industry leaders and experts: Invite industry leaders and experts to speak at the event and share their views on the latest trends and innovations in the ice cream industry.
  •     Create a marketing plan: Develop a comprehensive marketing plan that includes promoting the event through social media, email campaigns, and traditional advertising methods. Leverage existing ice cream industry networks to reach your target audience.
  •     Conduct hands-on demonstrations and tastings: Conduct hands-on demonstrations of new flavor innovations and technologies, as well as tastings of new flavors and products. This will allow visitors to experience and learn about the latest trends in the industry.
  •     Networking Opportunities: Create opportunities for attendees to network and network with each other, such as hosting a networking reception or industry-specific breakout sessions.
  •     Participant follow-up: After the event, be sure to contact attendees and collect feedback on their experience. Use this feedback to improve future events and further meet the needs of the ice cream industry.

2. ChatGPT for Event Marketing Emails

Now is the time to start writing emails to attract members and encourage registration. Struggling with writing? ChatGPT will come to the rescue. While the ChatGPT window is still open, you can ask follow-up questions on the same topic. We asked ChatGPT:

Can you help me write a marketing letter for this event?

And again ChatGPT had something to say:

Topic: Join us for the latest industry trends and flavor innovations

You can even ask ChatGPT to write additional emails for your event email marketing campaign:

  •     Can you also write an early bird pricing email?
  •     Can you write a thank you letter for participating?
  •     Can you write an email notifying me that event materials are now available upon request?

3. ChatGPT for social networks

To get the most out of your event, you need to advertise as much as possible. But writing a ton of social media posts is time-consuming, and you should focus on the visitor experience, not the details.

Referring to ChatGPT for help, you can speed up the writing process. We asked ChatGPT:

Can you help me write social media posts for this event for Twitter, LinkedIn and Instagram?

Never complaining, ChatGPT responded with the following - with an emoji:

Twitter:

  •     Ice cream lovers unite! Join us at [Event Name] to learn about the latest industry trends and the latest flavor innovations. Register now! #IceCream #Trends #Innovations
  •     Don't miss the opportunity to network with other ice cream makers and learn about the latest in the industry at [Event Name]. Register now! #IceCream #Networking #Innovation

Notice how the last hashtag ends? While ChatGPT will no doubt help you brainstorm social posts, you'll need to fine-tune them to be accurate, error-free, and in line with your brand and event theme. You can always include a hashtag in your tooltip, so change your question like this:

Can you help me write the social media posts for this event for Twitter, LinkedIn and Instagram and include the hashtags #IceCreamFestival23 and #IceCreamIndustry?

The more specific your request is, the better the result will be.

4. ChatGPT for Google and Facebook Ads

Once your social media posts are lined up, you may also need to create ads for sites like Google and Facebook. This is another area where ChatGPT can help you get started for all event types and formats.

We asked ChatGPT the following question:

Can you help me write three different Facebook ads for this event that appeal to three different people: 1) an executive, 2) an ice cream flavor innovator, and 3) an ice cream vendor?

ChatGPT responded with the following:

Of course, here are examples of three different Facebook ads for an ice cream event targeting three different people:

1. C-suite (group of people holding the most important positions in the company):

Are you a business leader in the ice cream industry? Don't miss the opportunity to network with other industry leaders and learn about the latest happenings at [Event Name]. Join us for keynotes, hands-on demonstrations and the opportunity to network with other professionals. Seats are limited, register now!

2. Ice cream production:

Are you an ice cream manufacturer? Join us at [Event Name] to learn about the latest industry trends and the latest flavor innovations. Meet other industry professionals and discover new techniques to take your ice cream creations to the next level. Register now!

3. Ice cream sale:

Do you work in the ice cream business? Join us at [Event Name] to learn about the latest industry trends and the latest flavor innovations. Meet other industry professionals and discover new ways to increase sales and take your business to the next level. Register now!

These ads are for different people and for different target audiences. It is important to note that the ad text should be clear and concise and contain a strong call to action.

ChatGPT not only created draft ads, but also provided some helpful tips at the end. Remember that the number of characters depends on the social network, so the more information you provide to ChatGPT, the more complete the result will be.

5. ChatGPT for event venue sourcing

Need help choosing a venue for your next event? Thousands of event venues around the world have closed during the pandemic, while new venues have popped up to meet the changing needs of the event community. Instead of digging through Google Maps, Yelp, and articles, check out ChatGPT for help!

We turned to ChatGPT:

We plan to hold this event in St. Louis. Can you help me find a place that can accommodate 5,000 ice cream professionals in St. Louis?

And this is what ChatGPT said:

Of course! There are several venues in St. Louis that can accommodate a large number of participants in your ice cream industry event. Here are a few options to consider:

  1.     America's Center Convention Complex: This complex offers over 600,000 square feet of flexible event space, including several large exhibition halls that can accommodate up to 5,000 attendees. It is located in the heart of downtown St. Louis and is easily accessible by car or public transportation.

Other uses for ChatGPT for event planners

The usefulness of ChatGPT is clear, and the tool is not limited to these five use cases. Here are some additional ways to use ChatGPT and tips to get you started:

  •     Knowing which people to invite to your event: Which people want to attend a [topic] webinar?
  •     Searching for a keynote speaker for your event: Can you suggest multiple keynote speakers for a [topic] event?
  •     Preparing post-event content: Can you write a final blog post about [Event]?
  •     Writing scripted talks: Can you script a talk for a keynote speaker whose topic is [Session Name]?
  •     Event Theme Development: Can you suggest some themes for the [Theme] event?

Using ChatGPT to parse event data

One final note on questions you might want to ask: although ChatGPT is quite a powerful tool, it cannot parse event data on its own. However, this tool can help you determine what data to analyze to get the most out of your next event. We asked:

Can you analyze event data?

Here is what ChatGPT replied:

As a language model, I don't have the ability to parse event data directly. However, I can provide some guidance on how to analyze these events and what types of information it might be useful to collect and analyze.

  •     Attendance: Number of participants, RSVP and no-shows.
  •     Feedback: Gather feedback on the event through surveys, interviews, or questionnaires.
  •     Budget: Track your expenses and compare them to your budget.
  •     ROI: Measure the ROI of an event, such as sales or leads generated.
  •     Engagement: Track how engaged attendees were during the event, such as how much they participated in the event or how long they stayed.
  •     Social media: Analyze social media engagement and sentiment related to the event.

It's also helpful to think about what specific goals you wanted to achieve with the event and measure them.

Once you collect data, you can use it to identify areas for improvement and make more informed decisions about future activities.

Well, thanks ChatGPT! You were very helpful.

Disadvantages and problems of using ChatGPT

ChatGPT cannot understand your event and know your business and priorities better than you and our team of experts combined. But you can provide ChatGPT with a lot of information and recommendations about your event for more accurate and brand-appropriate responses. However, it's not a solution for copy/pasting content and strategizing the old fashioned way.

It's also important to note that ChatGPT was trained in 2021 and therefore doesn't know anything that happened after that. For example, if you're recruiting keynote speakers for your event, you might get referrals from people who no longer hold the same positions. We asked ChatGPT to recommend keynote speakers for an upcoming ice cream industry event, and several of the suggested names were not associated with or currently employed by the company in question.

Even the creators of the tool have been open about its limitations. In fact, many of the questions we asked came with great initial copies, as well as recommendations for doing a thorough review to make sure the content is accurate and meets your needs.

You should also be thoughtful about the grammar and spelling that comes out of ChatGPT. If you're a fast worker and want to rely on copy/paste, we recommend at least using a companion tool like Grammarly to make sure your event marketing content is the absolute best it can be.

Ultimately, according to The Atlantic, ChatGPT is dumber than you think. Use this tool as a toy, not as a tool. Get inspired, but stay skeptical.

How will you use ChatGPT for events?

The best event planners are constantly testing new technologies in the market - including AR/VR, AI-powered tools and the Metaverse - to see how they can do more with less, refining their event strategies and delivering ever more successful events.

This begs the question: How will you use ChatGPT for events? Start playing with this instrument and share your work with us on social networks.
